Terms and Conditions

About Me

Jakub Tencl, Ph.D., holds qualifications and training in Advanced Hypnotherapy from the Hypnosis Motivational Institute (HMI) and the American Alliance of Hypnotists (AAH) and is registered with the Complementary and Natural Healthcare Council, an independent UK regulator for complementary healthcare practitioners approved as an Accredited Register by the Professional Standards Authority for Health and Social Care, a body accountable to Parliament.

The Accredited Registers program was established by the Department of Health and is administered by the independent body, the Professional Standards Authority, accountable to Parliament

Voluntary Consent to Participate

The Client voluntarily consents to participate in the therapy services provided by Practitioner. Methods used in this program may include hypnosis, coaching, guided imagery, relaxation training, visualization, Neuro-Linguistic Programming, exercise guidance, nutritional guidance, the involvement of mindfulness, and cognitive behavioural therapy. All such processes are hereafter referred to as “services.” The Client agrees to be an active participant in the program and shares responsibility for the process and results. The Client understands and agrees that the practitioner’s services will address only the mutually agreed upon and specified concerns. The Client agrees to inform the therapist of changes in his / her circumstances or medical status that may adversely affect his / her ability to participate fully in the program.


The Practitioner agrees to render ethical, competent services to the Client, to the best of his / her abilities and within the limits of his / her professional knowledge and training. However, the Client understands that the Practitioner’s services are not based on exact science and that the results can vary among individuals. The Client understands and agrees that there are NO GUARANTEES as to the results or outcomes. The Client remains ultimately responsible for his / her own decisions, actions, choices, and emotions, during and after participation in the program.

The Client understands and acknowledges that the services to be rendered may consist of a variety of processes and may incorporate questions, visualizations, pretending, writing or drawing, role-playing, breathing instructions, eye-movement instructions, take-home assignments, and physical movement. Procedures will be explained to the Client in advance and will be conducted only with the Client’s consent. The Client has the right to ask questions about any process and to discuss any concerns before, during, or following these processes. The Client has the right to accept or reject instructions, advice, interpretations, or suggestions made by the Practitioner at any time. The Client understands that the noncompliance with program instructions may reduce the probability of success.


Limits of Hypnotherapy/Clinical Hypnosis

The Client understands and acknowledges the following: clinical hypnotherapy, like any other form of psychotherapy or counselling, is not an exact science. Hypnotherapy/ clinical hypnosis is not a panacea or a magical cure for any ailment or problem. A hypnotherapy is that of no unusual powers or abilities and merely attempts to communicate so as to facilitate the client’s ability to think in a focused manner. The Practitioner makes no claims or guarantees as to the success of clinical hypnotherapy methods, whether the Client will experience trance or the degree of the trance that the Client will experience. There are a number of methods for conducting clinical hypnotherapy, and some methods may be more effective than others with any particular individual. Hypnotherapy can be relaxing, and some clients may fall into a deep relaxation during the process. The Practitioner will, nevertheless, continue the hypnotherapy session, on the assumption that the Client will continue to hear and respond to suggestions and instructions when the need arises.

The Client acknowledges that he/she may or may not remember everything the Practitioner says during the hypnotherapy process.

Use of Audio Recordings

As a service to the Client, the Practitioner will once in a while make audio recordings of some program sessions, for the Client’s possession and use, to reinforce hypnotic approaches to the Client’s state the outcomes. Since such recordings include instruction for relaxation, the Client agrees not to play the recordings in a moving vehicle or when operating potentially dangerous equipment. The Client also agrees not to play or listen to the recordings when providing direct supervision to a small child or incapacitated adult. The Client agrees that he/she will not reproduce these audio recordings or use them for commercial purposes or financial gain. Audio recordings produced by Dr. Jakub Tencl are for the Client’s personal use. If the Client allows others to listen to audio recordings produced, Dr. Jakub Tencl is in no way responsible for outcomes or results, since Dr. Jakub Tencl has not entered into a service contract with any other user or listeners.

Risk

The Client acknowledges that making personal changes in behaviour, thinking, and emotions through psychotherapy, counselling, and coaching sometimes requires adequate learning and patience and that he/she may make mistakes or experience some confusion or setbacks in the process. The Client acknowledges and accepts these risks.

Confidentiality and Privacy

The Hypnotherapy relationship, as well as information provided by the client (verbal or written) is bound by principles of confidentiality. The Practitioner agrees not to disclose the Client’s identity or any information shared during sessions to anyone without a written authorization from the client, except as provided by law.

Stipulations of Program Parameters

The Client understands that the services consist solely of what method is best to use, whether mindfulness, CBT, or hypnosis is based on a given goal, whereas chosen approach is based on experiences that are most effective but can be a mix depending on the client’s progress. Therapeutic sessions equal approximately one hour of face-to-face time with the Practitioner. The Client may also receive written material with the program. The fee for the entire program must be paid at the time of the first session and is not refundable. The Client may end participation at any time he/she chooses to do so, for feigning remaining sessions and fees.

Clinical Record Keeping and Inspection

The Practitioner’s written records will only be provided to the client via written request. Photo identification will be required. Records may be faxed, mailed, emailed, or retrieved in person per the client’s request.

Talk therapy

Talk therapy refers to a variety of methods that aim to help a person identify and change troubling emotions, thoughts, and behaviours, whereas hypnosis is one of those methods.

Recording of Talk Therapy Sessions

This section concerns client-initiated recordings. Practitioner recording for clinical notes is covered under “Session Recording for Clinical Notes” above.

1. Informed Consent: The Client and the Practitioner mutually consent to recording talk therapy sessions. However, it is agreed that such recordings shall only be made with the practitioner’s explicit consent. After discussing the purpose, potential benefits, and any associated risks or limitations of recording sessions, both parties acknowledge that this consent is informed and provided. Any questions or concerns regarding the recording process will be openly discussed and addressed before recording commences.

2. Privacy and Confidentiality: Recordings will be securely stored and accessed only by the Client and the Practitioner. No other parties will have access to these recordings without explicit written authorisation from the Practitioner. Recordings shall not be shared with others or used for research purposes without explicit consent from both the Client and the Practitioner. It is understood that the Practitioner must consent to sharing or using recordings for research purposes.

3. Purpose and Intended Use: The primary purpose of recording talk therapy sessions is to facilitate personal reflection, reinforce therapeutic insights, and review session content to support the Client’s therapeutic journey. Recordings shall not be shared with others or used for research purposes without explicit consent from the Practitioner.

4. Boundaries and Limits: Clear boundaries will be established regarding when and how recordings will be made. The Practitioner reserve the right to pause or discontinue recording during sensitive discussions or if the recording interferes with the therapeutic process. However, the decision to pause or discontinue recording shall be at the discretion of the Practitioner, who may do so when deemed necessary to maintain the therapeutic environment.

5. Duration and Frequency: Talk therapy sessions will be recorded solely at the Practitioner’s discretion. While the Practitioner will consider the Client’s preferences, the Practitioner will make the final decision regarding recording based on therapeutic considerations and professional judgment.

6. Review and Deletion: The Practitioner retains control over the recording of talk therapy sessions. While the Client retains the right to review and listen to the recordings, any editing or deletion of recordings must be requested through the Practitioner. The Client may receive access to the recordings through a secure link provided by the Practitioner, but there is no option to download or edit the recordings. Any deleted recordings will be permanently removed from storage by the Practitioner.

7. Termination or Modification: The Practitioner has the right to terminate the recording process at any time and may modify it, considering the Client’s therapeutic needs and preferences. If either party feels uncomfortable with the recording arrangement or circumstances change, the recording process may be adjusted or terminated accordingly, aiming to maintain the integrity of the therapeutic relationship.

8. Conditions and Clear Boundaries: The Practitioner is permitted to make audio recordings of talk therapy sessions for the Client’s benefit. These recordings will be made available to the Client for personal use, but the Client cannot modify, record, or share them with anyone else. All recordings made by the Practitioner will be subject to strict privacy, confidentiality, and respect for the therapeutic process, ensuring the integrity of the therapeutic relationship.

Session Recording for Clinical Notes

To support accurate clinical documentation, continuity of care, and the quality of the service provided, the Practitioner may make an audio recording of some sessions (and, where relevant for online sessions, an audio-visual recording).

Recording will be discussed with you in advance, and you will be informed when recording starts and stops. You may decline recording at any time, or ask for it to stop during a session. If you do not wish to be recorded, the Practitioner will continue by taking written notes instead, and this will not affect your right to receive the service.

Any recording (if made) is treated as part of your confidential clinical record. It will be used only for clinical note-taking and delivery of the service, and will not be used for marketing, training, publication, or any other purpose without your separate explicit written consent.

Recordings are stored securely with access restricted to the Practitioner (and, where applicable, to authorised professional support bound by confidentiality and data-protection obligations). Recordings will be retained only for as long as necessary for clinical record-keeping and legal/regulatory obligations, after which they will be securely deleted or destroyed in line with the Practitioner’s data-retention practices.

Boundaries

The Practitioner and Client shall maintain a strictly professional relationship.
These boundaries serve to uphold professional ethics, establish clear guidelines, and prioritise the client’s safety, trust, and therapeutic progress.

Insurance Coverage

All fees are due prior to services rendered. The Practitioner will provide receipts which detail the services offered, but bear no responsibility for the procurement of insurance coverage or payment or reimbursement on behalf of the Client.

Compensation for Services Rendered

1. Standard Fee Schedule: The Practitioner shall charge a fee of £55 for individual hypnotherapy sessions conducted on Tuesdays and Thursdays. For sessions conducted on other days of the week, from Monday to Saturday, the fee shall be £90. These fees are applicable for sessions conducted either online or in person.

2. Discounted Fee for Eligible Individuals: A concessionary fee of £40 per session shall be available to students and individuals with disabilities who are recipients of government financial support. Proof of eligibility may be required to receive this discounted rate.

3. Duration of Sessions: The fees outlined in sections (1) and (2) above apply to a standard session duration of sixty (60) minutes.

4. Availability of Sessions: The provision of sessions is subject to availability, and the Practitioner reserves the right to adjust scheduling based on demand and other professional commitments.

5. Bulk Session Discount: Clients electing to pre-purchase three (3) or more sessions for dates falling on Monday to Saturday, with the exception of Tuesday and Thursday, shall be entitled to a reduced rate of £40 per session. Payment for the bulk sessions must be made in full at the time of purchase to qualify for the discount.

6. Previous Fee Structure: Clients who have engaged with the Practitioner under a previous fee structure shall continue to be charged according to that structure, unless they opt into the revised fee arrangement as described herein.

7. Flexible Payment Options: The Practitioner offers various payment methods, including card, cheque or cash. Payment is required either in advance or immediately following each session; however, the initial session must be paid for in cash.

8. Voucher Scheme: Clients in possession of a voucher for sessions shall be subject to the terms specified therein regarding the number of sessions and associated costs. Any subsequent sessions beyond those specified by the voucher will be charged in accordance with the standard fee or discounted fee as applicable. The number of sessions can be more than what is given from the voucher; this depends on the goal you want to achieve.

9. Notification of Fee Changes: The Practitioner reserves the right to modify the fee schedule provided herein. Clients will be given a minimum notice period of seven (7) days prior to the implementation of any fee adjustments.

10. Payment Terms: Payment for services rendered is due in full on the date of each session. In the case of pre-purchased sessions or services, payment terms specified at the time of purchase shall apply.

Refund and Cancellation Policy

Please be informed that the cancellation policy is different for each venue, depending on the conditions given by the clinic. At West End Medical Practice and City Road Therapy, it is on the day prior to the scheduled appointments by 5 p.m. At Borough House, it is 7 days.

The fact that you booked the appointment does not mean it has been confirmed. You must confirm your attendance the day before by 5 p.m. and on Friday for weekend and Monday appointments (this applies for all venues). Unconfirmed appointments are automatically cancelled.

If cancellation or change is made in time less than the given period for each venue prior to the appointment, the full price of the appointment will be charged as the cancellation fee. However, in exceptional circumstances, a reduced fee of £20 may apply at the provider’s discretion. If the payment has been paid in advance, it cannot be refunded. When a booking is made, you have only one option of choice for rescheduling to a different day and time if it’s requested in the correct period in advance. Every rescheduling afterwards is taken as a new appointment and thus has to pay a new appointment fee, and that is in case that appointment hasn’t been paid in advance; otherwise, it is taken as a new appointment. If you have a voucher, then you lost one session on your voucher. If the appointment is on Monday, cancellations or changes must be requested on Friday. Your appointment can be changed due to the circumstances; you will get a notice in no less than 24 hours in advance.

A cancellation fee of £20 has to be paid in case the appointment is booked in Borough House and in advance. Based on circumstances, the fee may be required for bookings at other venues. If the cancellation is made correctly and there is no other booking, the cancellation fee is refunded; otherwise, the fee is non-refundable. At the appointment, the fee will be deducted from the regular price for the service; the rest will be charged.

If the cancellation is made at an incorrect time before the appointment, the cancellation fee will be automatically charged using your credit card details. In case of an impossibility to make a payment of the cancellation fee, you will receive the invoice at your physical address and to your email.

Scheduled appointments cannot be rescheduled for the same day at different times. The follow-up appointment is usually scheduled after no less than seven days.

Use of personal data

Personal details are used only for the therapeutic purpose. They are not disclosed in any way unless this is not requested in written form by the client or this is not required by law. All records are stored for 7 years. You have the right to request to remove your personal details, but two years after the therapy was terminated. Your physical address can only be used in case of impossibility to pay the cancellation fee so that you will receive an invoice.

Termination of Engagement

How termination occurs. The therapeutic engagement may be ended by either the Client or the Practitioner by written notice (email is sufficient).

Practitioner-led termination (illustrative reasons). The Practitioner may end the engagement, for example, where:

  • agreed boundaries are repeatedly breached (e.g., contact limits, payments, attendance),

  • dynamics arise that cannot be safely or ethically contained within the agreed frame (e.g., treatment-interfering transference/counter-transference),

  • the Client’s current needs exceed the Practitioner’s competence or capacity (a different form/level of care is indicated),

  • there is a risk to safety or a conflict of interest.

Transition and handover. Where appropriate and safe, the Practitioner will offer reasonable administrative closure and information about onward options. With the Client’s written consent, the Practitioner can provide a brief, clinically relevant handover to a new clinician, within the minimum necessary scope and via a secure method, in accordance with data protection law.

Scope of contact after termination. After termination, contact is limited only to administrative matters (confirmation of termination, necessary organisational steps, and documentation) and is conducted in writing (email). Personal or relational topics are not the subject of further communication.

Urgent situations. The Practitioner does not provide emergency or on-call services. In a crisis, contact 999/112, Samaritans on 116 123, SHOUT on 85258, or attend the nearest Accident and Emergency (A&E) department.

Priority of the current website version. These Terms & Conditions are published on the Practitioner’s website; the online version in force at the time of service always prevails. Any signed paper/electronic agreement that includes or references these Terms does not override later updates on the website. 

Telephone contact: Calls are made only by prior agreement; unsolicited calls are not part of the service.

Resumption of work. Any future work requires a new agreement on the frame and is usually possible only after a minimum pause of 12 months. In exceptional and justified cases, the Practitioner may shorten this period at their discretion (e.g., stable presentation, capacity, clear new frame, no safety/ethics concerns).

Refunds

In case payment for the follow-up session has been made in advance, it is not required to confirm your attendance unless you don’t need to cancel the session; if yes, then in the given time for each venue prior to the appointment. If you cancel your appointment afterwards, a refund cannot be provided. The refund cannot be made if your appointment has been rescheduled more than once.

Crisis Intervention and Limitations of Service
The hypnotherapy services provided are not intended, nor suitable, for use as a primary means of crisis intervention or emergency support. The Practitioner does not provide on-call, real-time crisis response outside of scheduled appointments.

In the event of a mental health crisis or any situation in which there is a risk of serious harm to self or others, the Client must seek immediate assistance via:

  • 999 (UK) or the local equivalent emergency service number

  • Samaritans at 116 123 (UK & Ireland, freephone)

  • SHOUT text service at 85258 (UK)

  • Nearest Accident & Emergency (A&E) department

Should the Practitioner become aware during a session of an imminent risk of harm to the Client or others, the Practitioner reserves the right to contact appropriate emergency services and/or relevant third parties in accordance with safeguarding obligations and applicable law.

The Client acknowledges that hypnotherapy is a complementary service intended for wellbeing and personal development purposes, and does not replace medical, psychiatric, or other regulated healthcare interventions.

Direct Client Booking Requirement
For ethical and professional reasons, all sessions must be booked directly by the client who will be attending. Where a third party (e.g. partner, family member, friend) makes an initial enquiry, the booking will only be confirmed once the prospective client has personally agreed to the appointment, either by making the booking themselves or by having direct contact with the therapist beforehand. This ensures that the client’s consent, readiness, and comfort are respected.
